Scheduling & Client Portal
Booked, reminded, confirmed.
Clients book themselves inside the hours you allow. Reminders go out, confirmations come back, and your calendar stays in sync — the front desk runs itself before you sit down.
Self-booking
Your calendar, their click.
A booking page under your practice's name, showing only the slots you decide exist.
- Availability rules: set your hours, buffers, and session types once — the page enforces them forever.
- Two-way calendar sync: Google and Outlook busy times block your Suithera calendar, and vice versa.
- No-show defense: automatic email and SMS reminders, with confirmations tracked per appointment.
Where the agents fit
Rebooking runs on rails.
The follow-ups that keep a caseload full are exactly the ones that slip.
- Lapsed clients: when a weekly client quietly stops booking, the agent flags it — or drafts the outreach for your approval.
- Waitlist fills: a cancellation becomes an offer to the next client, not an empty hour.
- Morning review: everything the agents arranged overnight waits in one queue. See Automation →
The client portal
Invite-only, and calm.
Clients get one quiet place for the practical side of therapy — nothing to install, nothing public.
- Intake & e-signatures: packets, consents, and policies completed before the first session.
- Secure messaging: encrypted at rest, audit-logged, with agent-drafted replies you approve before they send.
- Billing in one place: invoices, receipts, and superbills — no PDF attachments over email.
Questions
The front desk, answered.
Can clients see my whole calendar?
No. The booking page shows only the slots your availability rules produce — never your personal events, other clients, or blocked time.
Do agent-drafted messages send automatically?
No. Drafts wait for your approval, always. The one-click approve is the send button.
Is the portal open to anyone?
No — it's invite-only. You invite each client, and their access is scoped to their own records and messages.
